Account-Assigned Purchase Order (K — Cost Center, F — Order): Consumption at Goods Receipt

Goods bought for direct consumption never become stock: the PO item carries an account assignment (cost center K, order F), the goods receipt posts the expense straight to that cost object, and the invoice clears GR/IR as usual.

Demo data

01How should the PO item be set up?

Maintenance needs 20 bearing sets for one repair. They are not stocked. How should the PO item be created?

Business scenario

The maintenance department needs 20 bearing sets for a planned repair. They are not kept in stock, so purchasing orders them directly for cost center CC-4100.

All companies, numbers and documents are fictional demo data.

Step-by-step flow

  1. 01

How should the PO item be set up? open in twin

Maintenance needs 20 bearing sets for one repair. They are not stocked. How should the PO item be created?

K means cost center, F order, P project (WBS element), A asset — each needs the matching CO object on the item.

  2. 02

Consumables in stock open in twin

Without account assignment the bearings become valuated stock. Someone must later post a 201 goods issue to the cost center — an extra step that is often forgotten.

For items bought for one known consumer, stock is overhead: two postings and a period where the cost sits in inventory instead of with the consumer.

  3. 03

PO with account assignment K open in twin

    PO 4500001500: 20 EA MRO-500 at ₹1,500, account assignment K, cost center CC-4100 (Maintenance).

Everything downstream (goods receipt and invoice) uses these to post the cost.

  4. 04

Goods receipt posts consumption open in twin

The bearings arrive and go straight to maintenance. GR posts ₹30,000 to cost center CC-4100 (Maintenance). Stock does not change.

The goods are for immediate use, so with a valuated goods receipt (as here) the cost lands with the consumer at the moment of receipt. With a non-valuated GR, the receipt updates only the quantity and posts no expense; the expense is generally posted at invoice receipt instead.

  5. 05

Invoice clears GR/IR open in twin

MIRO: GR/IR ₹30,000 against the supplier. The cost center already carries the cost.

Price differences on account-assigned items go to the account-assigned cost object.

  6. 06

Consumed, never stocked open in twin

Cost center CC-4100 (Maintenance) carries ₹30,000. Stock never existed.

With F (order), the same flow charges a production or maintenance order instead of a cost center.

Accounting impact

Goods receipt for an account-assigned PO item

Typical

Goods receipt posts consumption

  • Dr Maintenance consumables — CC-4100 (Maintenance) (KBS (PO account))₹30,000
  • Cr GR/IR clearing (WRX)₹30,000

The expense account and cost center come from the PO item, not from material valuation. Transaction key KBS marks the posting (typical); the G/L account itself is the one on the PO item.

Invoice for the account-assigned item

Typical

Invoice clears GR/IR

  • Dr GR/IR clearing (WRX)₹30,000
  • Cr Supplier 100001 (payable)₹30,000

Clears GR/IR as for any PO. A price difference would go to the cost center as well, not to inventory.

Typical conceptual flow. Actual G/L accounts and posting behaviour depend on material valuation, automatic account determination and system configuration.

Movement type

  • 101GR for account-assigned PO item (consumption)Reversal: 102

Buys goods or services for a known consumer and charges the cost directly to that cost object at receipt, without passing through inventory.

Configuration

  • Account assignment categories (OME9)

    Configuration dependent

K, F, P, A and others: which fields are required and whether GR is valuated.

  • Non-valuated GR indicator

    Configuration dependent

Defers the posting to the invoice; GR only updates quantity.

  • Account determination via material group

    Configuration dependent

Can default the G/L account for items without a material master.

Prerequisites

  • Cost center (or order, WBS element, asset) open for postings
  • G/L account for the consumption
  • Material group or material for the item

Receiver of the cost.
G/L account (cost element)

Common errors

  • “PO cannot be saved”

Likely causes: Cost center missing or locked; G/L account not a cost element; Account assignment category requires a field not entered

  • “Cost appears at invoice instead of GR”

Likely causes: Non-valuated GR indicator set

Troubleshooting

Something went wrong? Work through these checks in order. They are diagnostic questions, not configuration instructions — confirm changes with your system owner.

  1. CHECK 1

    Posting

    • Is the cost center open?
    • Is GR valuated for this account assignment category?

Interview questions

  • What does goods receipt post for a PO item with account assignment K?

No stock. It posts consumption to the G/L account on the PO item with the cost center as CO object, against GR/IR — unless the non-valuated GR indicator is set, in which case the cost is posted at invoice.

  • Name common account assignment categories.

K cost center, F order, P project (WBS element), A asset, E/M sales order (for make-to-order or third-party). Each requires its own CO object on the PO item.

Quiz

Q1 · Identify the accounting impact
