01Subcontracting PO

PO 4500001400 orders 100 EA FG-2000 with item category L; the BOM adds RM-1000 as a component to provide.

Business scenario

Demo Subcon Works assembles 100 EA FG-2000 from 100 EA RM-1000 supplied by plant 1000, for a processing fee of ₹200 per unit.

All companies, numbers and documents are fictional demo data.

Step-by-step flow

  1. 01

    Subcontracting PO open in twin

PO 4500001400 orders 100 EA FG-2000 with item category L; the BOM adds RM-1000 as a component to provide.

Item category L tells SAP that components will be provided and consumed at goods receipt.

  2. 02

Provide components (541) open in twin

100 EA RM-1000 move from unrestricted to stock provided to vendor.

The components stay your valuated stock but are tracked at the subcontractor.

  3. 03

Components shipped to subcontractor open in twin

The truck delivers the components to Demo Subcon Works.

Can also be done via an SD delivery; ME2O is used to monitor and provide components.

  4. 04

Subcontractor assembles the product open in twin

Components are turned into 100 EA FG-2000.

Nothing is posted in your system while the subcontractor works.

  5. 05

Finished goods delivered open in twin

The subcontractor ships FG-2000 to plant 1000.

The goods receipt is posted against the subcontracting PO.

  6. 06

Goods receipt with automatic consumption open in twin

One posting: FG-2000 +100 EA (101), RM-1000 at subcontractor −100 EA (543, automatic), and the material document and accounting document are created together.

543 is normally generated automatically with the 101 subcontracting receipt, so the user does not post it separately. The components consumed are calculated from the PO's component quantities for the quantity received, and require enough stock provided to the subcontractor (special stock O). The subcontractor's fee is cleared later by the invoice through GR/IR.

  7. 07

Subcontracting cycle complete open in twin

    PO → 541 provide → processing → 101 + 543 → invoice for the fee follows (MIRO).

The supplier invoices only the processing fee; components were yours all along.

Subcontracting goods receipt (shown net)

Configuration dependent

Goods receipt with automatic consumption

  • Dr Inventory — FG-2000 (BSX)₹1,20,000
  • Cr Inventory — RM-1000 (provided to vendor) (BSX (via GBB/VBO))₹1,00,000
  • Cr GR/IR clearing (processing fee) (WRX)₹20,000

Shown net for clarity. Systems commonly route the component value through a subcontracting consumption account (GBB, account modifier VBO) that nets to zero. With standard price for the finished product, differences post to price difference accounts.

Typical conceptual flow. Actual G/L accounts and posting behaviour depend on material valuation, automatic account determination and system configuration.

Integration

  • FIFG valuation and GR/IR for fee.
  • COProduct costing if FG uses standard price.

Common errors

  • “Deficit of stock provided to vendor at GR”

Likely causes: Components not provided (541 missing); BOM quantity mismatch

Troubleshooting

Something went wrong? Work through these checks in order. They are diagnostic questions, not configuration instructions — confirm changes with your system owner.

  1. CHECK 1

    Components

    • Were components provided (541)?
    • Do PO component quantities match the BOM?

Interview questions

  • Walk through the subcontracting cycle.

PO with item category L and components → provide components with 541 (ME2O/MIGO) → subcontractor processes → GR 101 of the finished product with automatic 543 component consumption → invoice for the processing fee.

  • Is there an accounting entry for 541?

Typically no: stock provided to vendor remains your valuated stock in the same valuation area.

Quiz
